Privacy Policy

This Privacy Policy describes how PayAppHQ (“PayAppHQ,” “we,” “us”) collects, uses, and shares information when you visit www.payapphq.com (the “Site”) or use the PayAppHQ application and services (the “Services”).

Information we collect

  • Information you provide. When you request a demo, contact us, or sign up, we collect the information you submit — such as your name, company, email address, phone number, and billing volume.
  • Customer data. When you use the Services, you (or we, on your behalf under a Done-For-You engagement) upload business records such as projects, schedules of values, pay applications, and payroll data (“Customer Data”). Customer Data belongs to you. We process it only to provide the Services.
  • Usage information. We collect standard technical information such as browser type, pages visited, and approximate location derived from IP address, to operate and improve the Site.

How we use information

  • To provide, maintain, and improve the Site and Services;
  • To respond to inquiries and schedule demos you have requested;
  • To send administrative or service communications (we do not sell your information or add you to third-party mailing lists);
  • To comply with legal obligations and enforce our terms.

Data isolation

Each PayAppHQ customer’s deployment uses a dedicated database. Customer Data is not commingled with other customers’ data.

Sharing

We share information only with service providers that help us run the Site and Services (such as hosting, email delivery, and scheduling providers), under obligations of confidentiality; when required by law; or in connection with a merger, acquisition, or sale of assets. If you connect a third-party integration (for example QuickBooks Online, Microsoft 365, or Google Workspace), data is exchanged with that provider at your direction and under its own terms.

QuickBooks Online integration

If you connect QuickBooks Online, we access your QuickBooks company data (such as customers, projects, estimates, invoices, bills, and purchase orders) through Intuit’s APIs, with your authorization via Intuit’s OAuth consent flow, solely to provide the billing features of the Services — preparing pay applications and synchronizing invoices with your books. We do not sell QuickBooks data or use it for advertising. OAuth tokens are stored securely server-side; disconnecting the integration from the application’s settings page or from Intuit’s connected-apps page revokes and deletes the stored tokens. Our use of information received from Intuit APIs adheres to the Intuit Developer terms and applicable Intuit policies.

Google user data (Gmail integration)

If you connect a Google account, we request the gmail.send scope together with basic profile information (name and email address). This is a send-only permission: we use it exclusively to send billing emails — such as pay applications and payment reminders — from your own Gmail address at your direction, and to display which account is connected. We cannot read, browse, store, or delete the contents of your mailbox. OAuth tokens are stored securely server-side and are revoked and deleted when you disconnect the integration from the application’s settings page or from your Google Account’s third-party access page. We do not use Google user data for advertising, do not sell it, and do not transfer it to third parties except as necessary to provide these sending features at your direction, for security purposes, or to comply with applicable law. PayAppHQ’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Retention and security

We retain information for as long as needed to provide the Services and meet legal obligations, and we use reasonable administrative, technical, and physical safeguards to protect it. No method of transmission or storage is completely secure.

Your choices

You may request access to, correction of, or deletion of your personal information by contacting us at privacy@payapphq.com. Depending on where you live, you may have additional rights under applicable law.

Children

The Site and Services are for business use and are not directed to children under 16. We do not knowingly collect information from children.

Changes

We may update this policy from time to time. We will post the revised version here with an updated date.
